The most important document for the handover of the rental property to the tenant is the handover report.
The purpose of the possession report is to record the actual situation at the start of the tenancy, thus preventing any disputes that may arise later, especially when the tenant moves out.
Its main elements are:
- factory number and position of the meter
- keys to be handed over, door openers
- list of fixtures and fittings
- possible error lists
- documents to be handed over on taking possession
It is important that these are supported by photos or video, so that, for example, a crack that already exists cannot be attributed to the tenant. It is worth recording in the inventory any item that the landlord may claim the value of or depreciation in the event of loss or damage.
There are no formal requirements for the minutes, but in our experience we have never had a problem with overly detailed minutes - at RealHelp we always produce a thorough, detailed handover and take-back record, taking into account the interests of both parties.
What many people forget is that such a record should be made not only when the property is handed over, but also when it is taken back, so that the parties can check for themselves the situation compared to the initial situation.
